Program Guide Spring 2025:  Policies and Procedures

The Lifelong Learning Institute of Manassas is a community of adults age 50 years and older. Our mission is to provide our members with affordable educational and social opportunities in a friendly and informal atmosphere. Organized in 2003 as a 501(c)(3) educational non-profit, we are hosted by Northern Virginia Community College (Manassas campus), and maintain partnerships with other community organizations. We offer two programs each year – fall and spring – consisting of classes, discussion forums, social events, clubs, and occasional bus trips. A self-governing organization, we rely entirely upon the volunteer efforts of our members for our governance and operations.

1. GENERAL.  Our program guide is published as an online version on our website.  Major sections include:

  • Class Description pages in date sequence, with full descriptions about each class, the presenter, schedule, venue, and fees (if any).
  • A “MIni-Guide” suitable for home printing (6-7 pages), listing classes in date sequence with abbreviated class descriptions.
  • “At-a-Glance” webpage showing only class titles in date sequence.
  • Registration Worksheet: Link to a printable worksheet to assist your online registration, or for mail-in registrations.
  • Membership Application (for new members): Link to a printable form for mailing.
  • Contact a Class Coordinator link:  for contacting a class coordinator via email.

2. MEMBERSHIP.  Membership is open to anyone age 50 or older.  You must have a current membership in order to register for classes.  A Spring 2025 Half-Year Membership costs $75.  This half-year membership allows you to register for and attend as many classes as desired for the Spring 2025 (Jan-June) programs.  Half-year memberships will expire on 30 June 2025. 

  • Previous LLI members who already have an LLI account:  Renew your annual membership by clicking the Join/Renew link at the top of the webpage.  Log into your account with your LLI username and password.  Follow the directions and pay $75.00 by credit card.  You will receive an email confirmation of your purchase.
  • New members to LLI: If you are brand-new to LLI,  click the Join/Renew link at the top of the webpage, and then the “New User Start Here” link. You will enter your information for opening a new account, including a chosen username and password, and submit it. You will then be able to purchase a membership, paying by credit card.  Your membership will activate immediately, and you’ll be able to register for classes.
  • Joining or Renewing by Mail: Alternatively, all applicants may print off and mail the Membership Application, enclosing a check for the half-year membership fee ($75). Mail to: LLI-Manassas, PO Box 284, Haymarket VA 20168.
  • Nametags. LLI provides each new member a one-time complimentary nametag.  You may order a replacement nametag ($10.00) directly by contacting Weisco Printing in Manassas, VA. (703-368-7810).
  • Scholarships. LLI-Manassas may from time to time award an individual scholarship, consisting of a dues-paid full or half-year membership. Requests for scholarships may be submitted by members on behalf of themselves or a prospective member. Submit written requests, including justification, to the Secretary, LLI-Manassas.

 

3. CLASS REGISTRATION INSTRUCTIONS FOR SPRING 2025 PROGRAM.

  • Online registration for members will open on Monday 13 January 2025.   Use the Class Registration link on the website to login to your LLI account, and select the Spring 2025 semester.   Once registration opens on 13 January, a “Register” box will display for each class — click the box for your desired classes.   Before beginning online registration, we recommend you print off and annotate the Registration Worksheet to use as a reference during this process.  During online registration, any class fees must be paid by credit card.   Upon completion, you will receive an automatic email confirming your registrations and any class fees paid.
  • Mail-in registrations will be processed beginning on Monday 13 January in the order in which they were received.  To register by mail, print off the Registration Worksheet, (and the Membership Application if applicable), and mail with a check for any membership or class fees.  Mail to:  LLI-Manassas, PO Box 284, Haymarket VA 20168.  (If you mail-in your registrations, you will NOT receive a confirmation email).
  • In-person registration.  Our January 2025 Spring Semester Kickoff Social will be held Wednesday 15 January September, 1:30 – 3:00 pm, at the Hylton Performing Arts Center.  At this event, registration assistance will be available on a limited basis for those who are unable to register online or by mail.   You must bring your filled-in class registration worksheet.  Additionally, all fees at this event must be paid by check; (no cash or credit cards).

4. CLASS POLICIES AND PROCEDURES.

  • A Class Coordinator is assigned for every LLI class, club or event.  The Coordinator is your point-of-contact for all information and questions concerning the class.  Each class description includes a link for contacting the coordinator.
  • You must be registered in a class to attend.  If you are not registered, you may contact the Class Coordinator to see if space is available. Similarly, if you ARE registered but cannot attend, please also inform the coordinator so that your seat might be made available to someone else.
  • Class and E-mail Reminders.  Approximately one week prior to all classes or meetings, the coordinator will email a reminder to all registered students.   A second reminder will be sent approximately one day prior to the class.  If the class is to be held online (via Zoom or some other media), the emails will also contain the log-in information.
  • Wait Lists.  Some classes may have wait-lists.  If seats open up, the coordinator will contact wait-listed students by email (in date order).
  • Class Fees.  Class, event and bus trip fees must be paid at the time of registration; you will not be registered unless the fee is paid.  If you register online but are wait-listed, the fee will not be charged to your credit card.  If you registered for a class by mail or in person and paid a fee by check and are subsequently wait-listed and do not attend, a refund check for that fee will automatically be mailed to you.
  • Bring a Guest.  Members may bring a guest or potential LLI member to one class meeting each semester (space permitting, and any fees paid).   Please contact the coordinator in advance if you wish to bring a guest to ensure that space is available.  Additionally, LLI classes at the Hylton Performing Arts Center are open to the public, so feel free to invite guests and prospective LLI members to these classes particularly.

5.  COVID-19 / HEALTH POLICIES FOR IN-PERSON EVENTS

The following guidelines are in effect for attending LLI in-person classes and events for 2025-26.  These guidelines may be changed as circumstances warrant.

—  We will comply with the health precaution policies (e.g., masking, vaccination) of our venues, and inform attendees appropriately.  We do not require masks, but masking by any individual is welcome.  We strongly encourage attendees to be up-to-date with vaccinations for COVID and other seasonal viruses (e.g., influenza, RSV).

—   Please do not attend any in-person event if you have symptoms of COVID or other respiratory illnesses.  If you have recently tested positive for COVID, do not attend until you meet the Virginia Department of Health recommendations for quarantine/isolation.

 

6. INCLEMENT WEATHER POLICY

LLI-Manassas will follow the policies of Prince William County Schools (PWCS).  https://www.pwcs.edu/about_us/closings/codes/index

  • If Prince William County school buildings are closed to students (Code Red, Orange or Green), all in-person LLI activities are cancelled for that day. However, online (Zoom) classes already scheduled for that day will be held.
  • If PWCS declares a Two-Hour Delayed Opening (marginal weather conditions), both in-person and online (Zoom) classes will be held as scheduled. Exceptions may be made for bus trips or “tour” activities under these conditions.  Use your judgement concerning specific weather conditions in your area.

Please check the LLI website and calendar for the latest up-to-date information concerning cancellations and re-scheduling.

 

7. FEE REFUND POLICIES.

  • Some fees will be non-refundable because they are paid in advance to vendors or to purchase supplies in anticipation of the class. Specific refund procedures applicable to each class or bus trip can be found in the description for that class/trip.
  • Class/event fees of $15 or less will not be refunded unless the class or event itself is cancelled, in which case refund checks will be automatically mailed to all registered students.
  • Class/event fees greater than $15: If you notify the class coordinator of a cancellation by the date stated in the class description, you may request a refund.  If you cancel after the cutoff date, no refund will be issued.
  • Refund request procedure. You can submit a refund request online by CLICKING HERE and filling in the online form. Alternatively, you may CLICK HERE, print, fill out and mail a Request for Refund form.

8. BUS TRIP POLICIES

  • To participate in an LLI bus trip activity, you must be registered for the trip and ride on the bus. For contractual and liability reasons, you cannot travel independently and then join the group at the destination.
  • After the specified cut-off date in the program guide, the bus trip fee is non-refundable unless a wait-listed person registers in your place, or if you find a replacement.
  • In addition to trip registration and fee, each person must complete an Acknowledgement, Release and Waiver Form, with the Emergency Contact Information. Your registration is not complete unless this form is submitted, using one of the methods below:
    • Online: On the LLI website, in the Quick Connects listing, click the LLI Forms and Bylaws link.  Then click the Trip Acknowledgement & Waiver form.
    • Fill in the information for the trip, and then click “Submit” at the bottom. The form will be sent directly to the Trip Coordinator.
    • By mail: Print out the Acknowledgement, Release and Waiver form and include it with your registration form and check for fees.

9. VENUES.
